Project Assurance and Internal Quality Audit Policy
Purpose
This policy establishes the guidelines for conducting internal quality audits within the organisation. These audits help ensure compliance with ISO 9000 and ISO 14000 standards, identify areas for improvement, and track corrective actions.
Scope
This policy applies to all departments and processes within RFLPS within the scope of the Integrated Management System.

Frequency of Audits
Routine Audits: Each live project shall undergo a comprehensive internal audit at least once per quarter based on a schedule maintained by the department (this may be held within the Formus Pro App) or more often, should the risk profile and/or previous audit findings prove necessary.
Audit Process
Planning:
- The Quality Manager will plan and schedule audits in advance. A schedule will be available detailing completed audits by project and audits scheduled to be completed at a future date.
- The audit team will include the Auditor, the auditee, typically the Commission Manager and any other representatives from different departments required.
Preparation:
- The relevant parties will review relevant documentation, procedures, and records before the audit.
Conducting the Audit:
- Auditors will interview employees, observe processes, and review records.
- Non-conformities will be documented during the audit.
Reporting and Findings:
- The Auditor will compile findings and prepare an audit report.
- The report will highlight areas of compliance and non-compliance.
- Areas of non compliance shall include a root cause analysis in the reason section of the report to allow the root cause of any shortcoming to be determined and corrected.
Corrective Actions:
- Non-conformities will be addressed promptly.
- Corrective actions will be assigned, tracked, and monitored.
- The Quality Manager will verify the effectiveness of corrective actions.
Follow-Up Audits:
- Follow-up audits may be conducted to verify closure of non-conformities.
- The Quality Manager will maintain records of follow-up audits.
Documentation and Records
Audit reports, corrective action records, and follow-up audit results will be documented. Records will be retained as per our document control procedures.
Responsibility
The Quality Manager is responsible for overseeing the audit process. Department heads are responsible for implementing corrective actions.
Review and Continuous Improvement
This policy will be reviewed annually for effectiveness. Feedback from audits will drive continuous improvement. Note: This policy is subject to change based on organizational needs and ISO 9001 updates.
Communication
This policy will be communicated to all relevant employees and suppliers to ensure understanding and compliance. Any updates or changes to this policy will be promptly disseminated.
